A simple tool to help you stay focused

We all love fancy tools, right?

There are so many tools out there to help us be productive, manage our time efficiently and automate our business wherever possible. And these tools are great and really help us get things done. But often they’re not the best to help us stay focused.

Imagine the following:

While you’re working on something (e.g., writing a sales page) an idea or to-do pops up (e.g., make an appointment with my accountant yell). You either call your accountant immediately or you open your to-do list tool and put it in there.

Both actions get you out of the flow of writing your sales page. When you’re back at it a few minutes later, your brain needs some time to get back into the groove.

That’s were my favorite tool comes in:


A simple paper notepad

Yes – you heard me right. Petra – lover of all things digital – loves using a paper notepad.

(BTW: I also prefer actual books over audiobooks.)

And that’s why:

I have my notepad right next to my computer on my desk. Whenever something pops up in my head, I jot it down and don’t think about it anymore. When I’m done with whatever I’m doing or during my Shutdown Ritual I grab my notepad, look at the notes I made and put them wherever they belong.

So I can stay focused on what I do and don’t miss out on an idea or to-do! WinWin

If you’re anything like me, you love collecting information and download every freebie that comes your way.

There is so much free information out there and we’re afraid to miss out if we don’t get it all. But the problem is, most of the time we only collect this information and don’t implement it.

Do you really need 5 freebies about the perfect Instagram bio if you don’t do anything with the information provided???

It’s time to stop collecting information and to start IMPLEMENTING what we already have.

 

Here are a few tips for you:

1. Put all your freebies in one folder. If you have a shit ton you can make subfolders to have a better overview.

2. Go through each one of them and decide if this is something you actually NEED and if this brings you VALUE. Delete the ones that don’t fit these criteria.

3. Each week pick one of the freebies you kept. Work through it and IMPLEMENT the information you’ve learned.

4. Next time before you download a freebie ask yourself if this is something you actually need. If you downloaded something and don’t find it valuable or useful – DELETE it immediately. You don’t want to clutter your space (even if it’s “just” your digital space) with things you don’t need.

 

Remember: The 5th freebie about the perfect Instagram bio is not the answer if you don’t implement the information provided!

Why having a Shutdown Ritual is so important

Do you have a Shutdown Ritual?

Especially when you work from home, it can be very challenging to draw the line between work time and personal time. After dinner, you’re just quickly checking your emails or social media, finish that blog post, … whatever it is #IAmSureYouCanRelate

But the thing is that you don’t give your brain the rest it needs to recharge for the next day. You deplete yourself when you’re constantly in “work-mode.”

That’s why having a Shutdown ritual is so important. It signals your brain that work is done and that it’s time to unwind.


So, what should your Shutdown Ritual include?

Check your emails: Is there anything urgent?

Check your calendar: Everything up to date?

Update your to-dos for the next day: It’s always great to start the day with a prepared to-do list. This way you don’t have to think too much in the morning 😉

Stretching / Yoga: Do some stretches or a short yoga flow! After sitting the whole day, your body deserves some love.

“Shutdown complete”: Yes – say it! I know it sounds a lil bit strange, but it’s a clear signal that work is over now.

These points are just suggestions. Feel free to test and adjust till you find something that works for you!

You already have a Gmail account and would love to use this for your business emails too so that you don’t have to switch between platforms all the time. Receive emails in Gmail

 

To receive the emails from your own domain in Gmail, log in to the control panel of your website. Go to the mail section and forward the emails to your Gmail account. This step will look different for every hosting service so please visit the help section of your hosting service if you need any guidance.

 

Send emails from Gmail

 

Now to the much more exciting part. You not only can receive your business emails in Gmail. You also can send emails from Gmail with your own domain.

Step 1: Login to your Gmail account

 

Step 2: Go to settings (the rack-wheel)

 

Step 3: Got to “Accounts and Import” / “Send mail as” / “Add another email address”

Step 4: Enter the information about your other email address

Step 5: Enter the SMTP server (your domain address), your username and password and click “Add Account”

Tip: You can find the right Port in the control panel of your website.

Step 6: You will receive an email with a confirmation link and code. Click on the link in this email or enter the code in the field and click “Verify”.

And that’s it. Now you can send emails from Gmail with your own domain. When you open a new email, you can choose from which email address you want to send this email. How awesome it this?!
